Which data do we process and why?
When you contact us
Through the contact form, by email or by phone, we receive your name and email address and, if you provide them, your company name, phone number, the services you are interested in, your preferred timing and the content of your message. We use this data to answer your question, schedule an intro call and prepare a quote.
Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in answering questions (Art. 6(1)(f) GDPR).
When you are a client
To carry out an assignment, we process identification and contact details, billing details (such as address and VAT number), project communication and payment details.
Legal basis: the performance of the contract (Art. 6(1)(b) GDPR) and compliance with legal obligations, such as our accounting and tax obligations (Art. 6(1)(c) GDPR).
When you visit our website
Our hosting provider automatically records technical data in server log files, such as your IP address, browser and device type, the pages requested and the time of your visit. This data is needed to keep the website secure and working properly, and to prevent abuse.
Legal basis: our legitimate interest in a secure, well-functioning website (Art. 6(1)(f) GDPR).
We do not use analytics or tracking tools, we do not profile visitors and we do not load content or fonts from third parties. Read more about cookies in our cookie policy.
Do you have to provide data?
No. Without your name and email address, however, we cannot reply to your message, and without billing details we cannot carry out an assignment.
Who receives your data?
We never sell or rent out your data. We only share it with parties that help us deliver our services, and only as far as necessary:
- our hosting and email provider (Hostinger);
- our accountant;
- IT service providers who support us.
Depending on their role, these parties process personal data as a processor on our behalf or as an independent controller. Where a party acts as a processor, we conclude a data processing agreement where required. We also pass on data to authorities or other third parties when the law requires us to.
Transfers outside the European Economic Area
Wherever possible, we choose service providers that process your data within the European Economic Area (EEA). If data is nevertheless transferred outside the EEA, this only happens with appropriate safeguards, such as an adequacy decision of the European Commission or the standard contractual clauses approved by the Commission.

How long do we keep your data?
- Contact requests: up to 12 months after our last contact, if no collaboration follows.
- Client data and project communication: for as long as the collaboration lasts, and afterwards for as long as needed to handle any claims.
- Invoices and accounting records: for as long as accounting and tax law requires (currently up to 10 years).
- Server log files: as briefly as possible, usually a few weeks, unless needed to investigate a security incident.
- Your cookie preference: 6 months, after which we ask again.
How do we protect your data?
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, such as an encrypted connection (HTTPS), secured accounts and restricted access to data. Should a data breach nevertheless occur that poses a risk to your rights, we will report it to the Belgian Data Protection Authority and, where required, to you.
Your rights
You have the right to:
- access the personal data we process about you;
- have incorrect or incomplete data corrected;
- have your data erased, unless we are legally required to keep it;
- have the processing of your data restricted;
- object to processing based on our legitimate interest;
- receive your data in a structured, commonly used and machine-readable format, or have it transferred to another party;
- withdraw your consent at any time, without affecting the processing that took place before.
Send your request to hello@koncept01.be. We reply within one month. If necessary to verify your identity, we may ask for additional information. Exercising your rights is free of charge.
We do not make decisions based solely on automated processing, such as profiling.
